Pre-order

Pre-order options and payment

  1. Placing a Pre-Order: To secure your item, please select your preferred pre-order payment option (located just above the "PRE-ORDER NOW" button) before proceeding to checkout.
  2. Non-Refundable Deposits: If you select an option with a non-refundable down payment, please note that this deposit will not be refunded if you decide to cancel your order. This policy helps us manage incoming inventory and prevent abuse of the pre-order system.
  3. Balance & Invoicing: Once your item is in stock or preparing to arrive, we will email you a PayPal invoice for the remaining balance, plus any applicable shipping fees.
  4. Payment Deadline: You will have two weeks (14 days) to pay the final invoice. If payment is not received within this timeframe, your pre-order will be canceled, and your down payment will be forfeited.
  5. Order Fulfillment Guarantee: In the rare event that we are unable to fulfill your pre-order (e.g., the manufacturer cancels production), you will receive a full 100% refund of all payments made, regardless of the pre-order option you selected.

Flexible Payment Arrangement

If you prefer to pay your balance in installments rather than a single lump sum, please contact us after placing your order. We are happy to accommodate this by issuing a flexible invoice.

  1. How it Works: We will send you an invoice for your remaining balance, with the due date set to the product's estimated release date.
  2. Pay at Your Own Pace: This invoice allows you to make partial payments of any amount, at any time. Simply revisit the link in the original invoice email whenever you wish to make a payment leading up to the final due date.

Estimated available/release date

Please note that all estimated release dates are approximate timeframes provided by the manufacturer or supplier. These dates are subject to change without notice due to production or shipping delays that are beyond our control. Because we cannot guarantee exact arrival dates, we ask for your patience and understanding if an item is delayed. If you ever need a status update on your order, please feel free to contact us at any time.

Ordering multiple items

When ordering multiple items in a single order, we highly recommend selecting the "Only pay shipping when the order is ready to ship" option at checkout. Automated systems occasionally struggle to accurately calculate combined shipping costs. Choosing this option ensures you are charged the exact shipping rate at the time of fulfillment, preventing you from overpaying or underpaying upfront.

Cancel Order

Canceling an order is simple. As long as your item has not yet shipped, you can request a cancellation by emailing us with your order number, order date, and item details. We will gladly cancel your order and issue a full refund, subject to the following two exceptions:

  1. Non-Refundable Pre-Order Deposits: If you selected a pre-order option with a non-refundable down payment, this deposit will not be refunded and cannot be transferred to a new order. If you paid for shipping and taxes upfront on this order, those amounts will be converted and issued to you as store credit.
  2. Special Orders: If we made a special arrangement to fulfill your order (such as placing a custom order with a supplier) and this effort was communicated to and approved by you prior to placing the order, the order cannot be canceled.

Please understand that pre-order cancellations significantly impact our business operations by creating excess inventory and tying up funds. For this reason, we closely monitor cancellation rates. If an account demonstrates a pattern of excessive or repeated pre-order cancellations, we reserve the right to terminate the account and decline future orders from that customer.

Package Condition

Unless otherwise specified, all items sold on HobbyGalaxy.com are brand new and come in their original factory packaging, often with the manufacturer's seal intact. Please note that we cannot guarantee the outer packaging will be entirely free of minor wear or cosmetic damage. If you choose to return an item solely due to the condition of its packaging, you will be responsible for covering the return shipping costs.[Top]

 

Return, Replace and Refund

Before returning any item, please contact us first to obtain return approval. 

  1. Unopened Items: You may return unopened items within 30 days of delivery for a full refund. The item must be in its original, undamaged condition with all packaging, shrink wrap, and factory seals completely intact. If the return is due to our error (e.g., incorrect item sent), we will cover the return shipping costs. For all other returns, the customer is responsible for return shipping, and the original shipping fees are non-refundable.
  2. Opened Items (Defective Only): Opened items can only be returned within 30 days of delivery if they possess a major manufacturer defect (e.g., broken parts, missing components, faulty electronics). In these cases, we will gladly cover return shipping and offer a full refund or a replacement. We cannot accept returns on opened items for any other reason.
  3. Transit Damage: All shipments are fully insured prior to shipping. In the rare event your item arrives damaged from transit, it is the customer's responsibility to document the damage and file a claim directly with the shipping carrier or post office.
  4. Replacements: If you request a replacement for an eligible return, it will be shipped promptly upon our receipt and inspection of the returned item, subject to inventory availability.
  5. Refund Eligibility: We provide a full refund of the product price and applicable taxes for eligible returns (unopened items or defective/incorrect opened items). Original shipping fees are non-refundable unless the return is a direct result of our error (such as shipping the incorrect item).
  6. Refund Methods: Refunds are typically issued to the original form of payment. If this is not possible (e.g., a closed bank account or canceled credit card), we can issue the refund via PayPal (a valid PayPal account is required) or as store credit for future use.
  7. Refund Processing Time: Please allow up to four weeks to receive your refund after handing your package to the carrier, though many are processed much faster. This timeframe includes return transit time (5 to 10 business days), our internal processing (3 to 5 business days), and your bank's processing time (5 to 10 business days).

Shipping

  1. Global Shipping & Processing: We ship to most addresses worldwide, subject to certain international product restrictions. In-stock items typically ship within two business days of payment. Once your order has shipped, you will receive a notification email with tracking information.
  2. Shipping Quotes: To calculate estimated shipping costs without committing to a purchase, simply add the item to your cart and proceed to guest checkout. The system will provide shipping options based on your address before any payment is required.
  3. Upfront Shipping & Pre-Orders: If you choose to pay for shipping upfront on a pre-order, please note that the cost is an educated estimate based on similar products. If the final weight and dimensions of the packaged product differ significantly from our estimate, we may need to adjust the shipping cost (by requesting additional funds or issuing a partial refund) before the order can ship.
  4. Pay Later Option: To avoid estimation adjustments, we recommend selecting the "Only pay shipping when the order is ready to ship" option. When the item arrives, we will add the cheapest available shipping option to your final invoice (unless you specify a preferred carrier in your order notes).
  5. APO/FPO/DPO Addresses: Due to system limitations, we currently cannot process shipments to APO/FPO/DPO addresses. Please provide a standard physical address. Orders placed with an APO/FPO/DPO address will be canceled.
  6. Address Changes: If you need to change your shipping address after placing an order, please contact us immediately. Updating the address in your account profile will not automatically update existing open orders. Our staff must manually update your address to ensure accurate delivery and recalculate any necessary shipping adjustments.

Some other important issues you need to be aware:

  1. Signature Requirement ($200+): To protect both you and our business from lost or stolen packages, any shipment valued over $200 requires a mandatory signature upon delivery. If you wish to waive this requirement, you must provide specific instructions to do so in the order notes during checkout.
  2. Non-Trackable Shipping Services: While the majority of our shipping methods are fully trackable, certain international options—such as USPS First Class Package International Service—may no longer track once the package leaves the United States. Please be aware that selecting this service is at your own risk. We can provide proof of shipment, but we cannot provide proof of delivery. HobbyGalaxy.com cannot be held liable for packages lost under these non-trackable services, and it is the customer's responsibility to file a claim directly with the shipping carrier or local post office.

Notes on international shipping: 

  1. Handling Fee: All international orders are subject to a flat $7.00 handling fee per order, regardless of the order's size or weight. Please note this is a processing fee and is separate from carrier shipping costs.
  2. Customs & Duties: The customer is solely responsible for any import taxes, customs duties, or clearance fees levied by the destination country.
  3. Customs Declarations: By law, we are required to accurately declare the full purchase value of all items on customs forms. We cannot under-declare values or mark purchased merchandise as "gifts."
